Terms and Conditions of Hire Park Hall, Britannia Room and Meeting Rooms

Maximum Capacity

    • Park Hall: 180 Dancing / Buffet 160 Seated Meal
    • Britannia Room: 120 people
    • Conference Room: 30
    • Darts Room: 14
    • Music Room: 12
    • Club Lounge: 140

Important Information

WCA is a non-profit voluntary organisation that provides community facilities at reasonable rates.

We do our best to ensure the room is clean and suitable for your event. However, we cannot always guarantee that previous users have left the room exactly as required, and we cannot always control the room temperature to suit every hirer’s preference.

Please remove all your personal items and belongings before you leave. Our staff will clean the room before the next user.

Kitchen Note: The kitchen area is not approved under hygiene regulations for the preparation of cooked food.

Your Responsibilities

During the period of hire, you (the hirer) are fully responsible for:

    • All activities taking place
    • The behaviour and supervision of all people attending your event
    • Ensuring the health and safety of everyone involved

Booking and Payment Conditions

    • Bookings should normally be made at least 4 weeks in advance.
    • For Park Hall and Britannia Room: A holding deposit must be paid within 1 week of booking. The balance is due one month before the event.
    • Refunds for cancellations will be at our discretion.
    • Your booked time must include setup and clearing up.
      The hall will be opened and locked at the agreed times only.
    • 18th birthday parties are not permitted.

House Rules

You agree to the following conditions:

    • You are responsible for entrance security during your hire.
    • The hirer is responsible for ensuring there is a mobile phone available from the first arrival, to the last person departing the event
    • The premises should be cleared within half an hour of the end of the event
      otherwise an extra charge may be levied.
    • A representative of the hirer must remain in the premises until all other persons including band, group or other performers have left.
    • Caterers must remove all their waste from the site.
    • All electrical equipment brought on site must have a valid PAT test certificate.
    • Do not attach anything to walls, doors or ceilings with staples, pins, tape or tack.
    • No alcohol or other drinks may be brought onto the premises by hirers or guests.
      Any alcohol found may be confiscated.
    • Any band equipment, which is positioned on the floor of the Hall/Room, must be behind a line level with the front of the stage, or other designated area.
    • Protect the wooden floors. Do not use adhesive tape, chalk, talc or party poppers.
    • No smoking or vaping is allowed anywhere in the building.
    • Fire exits, gangways and emergency equipment must not be blocked or obstructed.
    • No fireworks or flammable substances may be brought onto the premises.
    • Bar service (if required) will be provided by WCA.
    • Illegal substances are strictly prohibited.
    • Cars must not block entrances or exits.
    • Car parking charges apply 24 hours a day, 365 days a year. We may be able to arrange free parking for your guests for an additional fee.
    • Dogs are not permitted, except assistance dogs.

Music, Performances and Entertainment

The premises are licensed for music, singing, dancing and similar entertainment.

    • All music must remain inside the hired room and must not disturb neighbours.
    • The Britannia Room has a noise limiter which must be used for all live and
      recorded music.
    • You are responsible for obtaining any additional licences required (such as PPL for recorded music) and paying any fees.
    • For stage plays or theatrical performances, you must give WCA at least 4 weeks’ notice and provide proof that the necessary licence has been granted

Additional Requirement for Britannia Room and Club Lounge

The Hirer of the Britannia Room and Club Lounge during periods when the Club is open must be a member of Wythall Community Club and must abide by the Club Rules.

Events involving children:
You must comply with current CRB/DBS regulations where applicable. For parties and similar events, you must have enough responsible adults to adequately supervise all children.

WCA accepts no liability for any loss, damage, or injury caused by you or your guests.
You are strongly advised to arrange your own public liability insurance.

Damage and Cleaning

You are responsible for any damage caused to the building or contents during your hire. Any damage must be reported immediately.

WCA reserves the right to charge for additional cleaning if the premises are not left in an acceptable condition.

Right to Refuse

WCA reserves the right to:

    • Refuse any booking application
    • Refuse entry to any person
    • Cancel the event if these conditions are breached or if there is illegal activity or a risk to safety
